Overview
Ward Personnel are recruiting for a Site Administrator for full time/permeant work in Cork city. The site Administrator plays a key role in supporting the smooth and efficient running of construction projects. The position involves managing project documentation, coordinating communications, assisting with financial processes, and supporting both office and site-based teams. The successful candidate will work closely with site managers, subcontractors, clients, and project teams to ensure project requirements are met accurately and on time.
Key Responsibilities
- Manage day-to-day office operations, including correspondence, phone handling, and office supplies.
- Provide administrative support to site managers and wider project teams.
- Maintain organised and up-to-date records, including site diaries and compliance documentation.
Project Coordination
- Coordinate the flow of information between office staff, site teams, clients, and subcontractors.
- Review submittals, inspection reports, and monitor the tracking of materials and resources.
- Assist with project scheduling and ensure progress updates are accurately recorded and communicated.
Contract & Document Management
- Support contract administration and ensure all contractual obligations are met.
- Manage project documentation, filing systems, and compliance-related files.
- Prepare and issue project-related documentation as required.
Financial Administration
- Handle financial documentation including invoicing, bookkeeping, and budget tracking.
- Assist with cost estimation and monitoring project expenditure.
- Generate payment estimates and act as a liaison between owners and contractors regarding financial queries.
Required Experience & Qualifications
- Strong organisational and time management skills, with the ability to prioritise effectively.
- Excellent communication and interpersonal abilities.
- Working knowledge of Sage
- Proficiency in IT systems, including project management software, spreadsheets, and document tools.
- High level of accuracy and attention to detail.
- Ability to work collaboratively with diverse teams and stakeholders.
- Understanding of construction contracts and basic cost estimation principles.
- Eligible to work on site 09:00-16:30 Monday to Friday
