Part-Time Executive/Personal Assistant & Administrator
The role is based in our Cork City office located in Blackrock. This is a busy role in a fast-paced and dynamic environment and will involve approximately 20-25 hours work per week.
The key responsibilities of the role will include:
- Monitoring correspondence, ensuring appropriate action in a timely manner, and responding on behalf of the directors where appropriate
- Preparing confidential correspondence and papers for the directors
- Organising and booking directors’ diaries, and making travel and accommodation arrangements for staff travelling etc.
- Preparing and Processing expense claims/company credit cards reconciliations
- Dealing and corresponding with suppliers in relation to contracts/invoices/approval for payment by the finance team – for utilities/stationery/software contracts etc.
- Attending meetings and recording and circulating minutes/actions
- Assisting the directors as required with other ad hoc tasks
- Building strong relationships with fellow staff and the overall leadership team
- Organising and planning company staff outings/summer party/Christmas party etc.
- Dealing with everyone in a professional, courteous and friendly manner at all times
The successful candidate, who will be a fluent English speaker, will ideally:
- Have at least three years’ experience of providing administrative support at director level or alternatively will have significant experience in an Office Management role
- Be very proficient with IT, particularly Microsoft Word, Excel & Outlook
- Be very organized and be comfortable working to tight deadlines
- Have exceptional attention to detail and will take great pride in their work
- Have excellent written & verbal communication skills and strong numeracy skills
- Be enthusiastic, discreet, trustworthy and highly confidential
- Enjoy using their own initiative to seek ways to drive continuous improvement
- Have the ability to build strong relationships at all levels both within Ward Personnel and with our clients, suppliers etc.
